Voicemail to Email Setup

Voicemail-to-email automatically sends a recording of each voicemail message to your inbox as an MP3 attachment, so you never miss a message even when away from the office.

Enabling Voicemail on an Extension

In the portal, go to Extensions and click the extension you want to configure. Under the Voicemail tab, toggle Enable Voicemail on. Set a 4-digit PIN for checking messages by phone.

Configuring Email Delivery

Enter the email address where voicemails should be delivered. You can enter multiple addresses separated by commas. Choose whether to keep the voicemail in the portal inbox after emailing, or delete it automatically.

Customising the Greeting

Upload a custom WAV/MP3 greeting (Hi, you've reached John — please leave a message) or use the default system greeting. You can also record a greeting by calling your voicemail box and following the prompts.

Checking Voicemail by Phone

From your extension, dial *97 to access your own mailbox. From another extension, dial *98 and enter the mailbox number. Enter your PIN when prompted. Follow the audio prompts to listen, delete, or forward messages.

Troubleshooting Email Delivery

If emails are not arriving, check your spam folder. Ensure the sending domain (voipcloud.online) is not blocked. On cPanel hosting, confirm outbound SMTP port 25 or 587 is open. Contact our support team if delivery continues to fail.
